Export Shipping & Logistics Coordination

Last updated: 2026-10-25

A shipping quotation is useful only when its route, charges and responsibilities are clear.

Information needed for a freight quote

Provide the pickup point, destination, carton count, gross weight, carton dimensions or total cubic volume, cargo-ready date and product description. Batteries, liquids, magnets, wood packaging and other regulated cargo must be declared accurately. Freight availability and prices depend on the actual shipment.

Transport options

Depending on the route and cargo, options may include full-container load, less-than-container load, air freight, courier or rail. Quotes should state what is included at origin and destination, booking conditions, estimated transit time and the period for which the rate is valid. Customs checks, congestion, weather and carrier changes can affect timing.

Agree the Incoterm and named place

FOB and CIF apply to sea or inland-waterway transport. A quotation should state the named port and the applicable Incoterms edition. Under CIF, insurance arrangements and the transfer of risk need to be understood separately from the freight payment. DDP is offered only where the destination, import arrangements, tax treatment and responsible importer have been confirmed. No delivery term is automatically available in every country.

Documents and product compliance

Depending on the shipment, documents may include a commercial invoice, packing list, transport document and origin or testing records. The buyer, seller and appointed agents should agree who supplies each document. HS classification, import permissions, product requirements and customs duties must be checked for the destination; an estimated quote is not a binding customs decision.

Damage, loss or delay

Check packaging and cargo on receipt, retain transport documents and record any shortage or damage with photos. Notify the relevant parties promptly under the agreed contract and carrier or insurance procedure. Liability and claims periods depend on those terms and applicable law.
