Quotations, Cancellations & Claims

Last updated: 2026-10-25

We discuss sourcing and services through written quotations. This website does not provide an instant checkout or an automatic returns program.

1. Before approving a quotation

Check the product and service scope, supplier and service-provider identities, payment recipient, currency, quote validity, quantity, specifications, fees, taxes, freight, trade term and delivery estimate. Changes to specifications or quantities may change the price and schedule. Verify any change of bank details through an independently confirmed contact before transferring money.

2. Service charges, samples and third-party costs

Service fees and the point at which work begins must be agreed before a charge is incurred. Sample, tooling, laboratory, inspection, courier and freight costs should be separately identified where relevant. A sample fee is credited against a later order only if the written quotation explicitly says so. Do not assume supplier deposits or commissioned work are refundable.

3. Cancellation requests

Send the quotation or order reference and your request to the contact below as soon as possible. We will check whether work, procurement, production or shipment has started, and what commitments have been made. Cancellation of a confirmed order requires agreement by the relevant contracting parties and may involve documented nonrecoverable costs.

4. Refund assessment

Eligibility and amount depend on the written agreement, work actually performed, authorized costs already incurred, supplier or carrier terms and applicable law. Any agreed refund is confirmed in writing with the amount, currency, payer and expected processing timing. The party that received a payment is not necessarily HEHI; we cannot promise a supplier refund without the supplier’s agreement or a legal basis. Nothing here limits a mandatory right to a refund or remedy.

5. Quality, shortage or damage claims

Provide the order reference, batch or carton identifiers, approved specification or sample, clear photos or videos, inspection or delivery records and the remedy requested. Notify the relevant parties promptly and observe the contract, carrier or insurance claims procedure. Keep the goods and packaging available for review where practical; do not return goods without agreed instructions.

6. Resolving an issue

Depending on evidence, contract terms and responsible parties, possible remedies may include rework, replacement, credit, an agreed refund or an insurance claim. Inspection scope, shipment release authority and risk transfer affect the assessment. No universal “zero risk” or fixed compensation outcome is promised.
